BM Quotes ("we", "us", "our") provides job-management and quoting software for trade businesses. This policy explains what personal information we collect, how we use it, and the choices you have. We handle personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

Information we collect

Account details — your name, email, business name and login credentials when you sign up.
Business data you enter — quotes, jobs, clients, workers, timesheets, materials, invoices and related records you create in the app.
Payment information — handled by our payment provider (Stripe). We do not store your full card number on our systems.
Connected services — if you connect Xero, we access the accounting data needed to sync quotes, invoices and bills, using tokens you authorise.
Usage & device data — basic technical information such as log data and device type, used to run and improve the service.

How we use your information

To provide, maintain and improve the app and its features.
To sync your data with services you connect, such as Xero.
To process your subscription and manage billing.
To send you service messages, and — where you've opted in — notifications about your jobs and schedule.
To provide support and respond to your enquiries.

How we share it

We don't sell your personal information. We share it only with the service providers that help us run BM Quotes, and only as needed:

Stripe — subscription payments and billing.
Xero — accounting sync you authorise and control.
Cloud hosting & database providers — to store and serve your data securely.
AI processing — some optional features (catalogue tidy-up, reading wholesaler invoices, drafting scope wording) send the relevant content to an AI provider for processing. These run on your own key where applicable.

We may also disclose information where required by law.

Storage & security

Your data is stored with reputable cloud providers and protected by access controls so that each business's workspace is kept separate and private. We take reasonable steps to protect your information from misuse, loss and unauthorised access. No method of transmission or storage is completely secure, and we can't guarantee absolute security.

Your data is yours

The business records you enter belong to you. You can access and export your data, and you can ask us to correct or delete personal information, subject to any records we're required to keep.

Your rights

Under the APPs you can request access to the personal information we hold about you and ask us to correct it. To make a request, or to raise a privacy concern, contact us at the address below. If you're not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC).

Retention

We keep your information for as long as your account is active and as needed to provide the service. If you close your account, we'll delete or de-identify your personal information within a reasonable period, except where we're required to retain it by law.

Cookies

The app uses cookies and similar technologies to keep you signed in and to run essential functions. This marketing site uses minimal cookies.

Changes

We may update this policy from time to time. We'll post the current version here with the "last updated" date above.
